track Coordinator
Tailing is seeking an individual to support timekeeping and manage labor and equipment rates in the Gulf of America and the MTAC Excellence department using myTRACK software. The TRACK Coordinator is central to the process, ensuring optimal operational performance of the TRACK software and daily business processes.
responsibilities:
- Oversee all activities of the Vendor management process per the standards established by the Client Owner
- Follow standardized nomenclature of skills/groups/types/items, etc. as determined by the business process
- Coordinate the activities of all Vendor Timekeepers to always assure the system functions properly and to maintain the integrity of the data
- Provide training and assistance to Supervisors/Approvers/Authorizers and Vendor Timekeepers and resolve questions and issues
- Manage labor, equipment and material rates (along with other charges such as per diem and meal allowance) within TRACK to guarantee most up-to-date contractual compliance
- Create/Assign/Unassign schedules and pay formulas per business (operations) requirements
- Manage and analyze activity for labor resources
- Ensure badge events flow in an IN/OUT order within TRACK
- Ensure each Vendor resource has a skill along with badge events, schedule and pay formula assigned within TRACK for proper calculations of net billable hours
- Manage override requests within TRACK
- Manage and analyze the daily business process and Timesheet Central within TRACK to confirm timesheet charges properly post in Client Owner ERP system
- Manage user accounts/profiles and report filters within the TRACK Admin Security Application
- Audit Vendor TRACK compliance for reporting timeliness, due date compliance, and error corrections. Ensure the Vendor Timekeepers are following the standards/expectations that have been established by Client Owner
- Maintain document files, which are auditable
- Work with Maintenance Cost Analyst, Accounts Payable, Maintenance Supervision, and all other departments to resolve TRACK issues relating to Client Owner ERP system
- Train Vendor Timekeepers and management in proper TRACK usage for general maintenance and large projects

Experience/job qualifications:
- High School diploma or equivalent
- Valid driver's license
- Experience working with Track not required
- Payroll and timekeeping experience
- Awareness of contract management processes
- Solid IT skills including MS Office and SAP
- Contract execution and issue resolution abilities
- Excellent oral and written communication skills as well as strong computer skills in several software systems
- Excellent problem-solving and analytical skills
- Ability to work with various groups of people (i.e. accounting, information technology, operations management, contract personnel, etc.)
- Ability to build/maintain effective working relationships
- Must be able to work independently and cooperatively within a team in a fast-paced work environment
- Experience with MS Office Suites (i.e. Outlook, Excel, Word, etc.)
- Ability to learn new processes and software
- Strong interpersonal skills as this role interfaces regularly with a wide range of stakeholders
- Ability to manage evolving priorities and deliver on multiple commitments in a timely manner
